Grievance Policy

 - Ensure you have a policy which is clear and comprehensive that outlines the procedures for employees to follow and ensure all employees are aware of this policy.

Open Communication – Build an environment where employees feel comfortable sharing their concerns and encourage them to discuss the issues with their immediate supervisor, if appropriate.

Investigate Promptly – Once you have received the grievance, start an investigation promptly. Gather all information, interview all parties and witnesses and document the process.

Maintain confidentiality, Conduct fair and impartial investigations – Keep the grievance and the investigation confidential to protect all parties. Ensure that the person responsible for investigating the grievance remains impartial and objective. Avoid any favouritism.

Review Company Policies and agreements – During the investigation, review the relevant policies and any other documents that are relevant to the grievance.

Provide feedback and offer mediation – Keep the employee informed about the progress of the investigation and outcome. Using mediation to help the involved parties to find a mutually agreeable solution. This demonstrates transparency and commitment to resolving the issue.

Take corrective action – If the investigation reveals that corrective action is necessary, take appropriate steps to address the issue. This may include disciplinary actions or process improvements.

Follow up – After a resolution has been reached, follow up with the parties involved to ensure that the issue has been resolved satisfactory and there are no further concerns.

Seek External Assistance – In cases where you have not been able to reach a resolution you may want to consider external support from a HR professional.
